Job Description:
The Document Controller is responsible for managing all documentation related to facility management operations at KKIA. This role involves handling technical reports, maintenance records, and compliance documents, while ensuring the accurate and timely submission of daily, weekly, and monthly reports in accordance with client and regulatory requirements.
Key Responsibilities:
- Maintain and control all facility management (FM) documents, including Preventive Maintenance (PM), Corrective Maintenance (CM), and HSE reports.
- Ensure timely submission of reports in line with SLA requirements.
- Manage document flow between operations teams, supervisors, and client representatives.
- Maintain logs for work orders, service requests, asset records, and maintenance history.
- Ensure proper version control of all technical reports and documents.
- Coordinate with site teams to collect accurate data for reporting.
- Review documents for completeness and accuracy before submission.
- Handle document submissions through client portals and document management systems.
- Maintain audit-ready documentation in compliance with FM standards and airport regulations.
- Archive reports and maintain organized filing systems (both digital and hard copies).
- Support internal and external audits by providing required documentation.
- Manage transmittals, submittals, and document distribution logs.
- Track pending approvals and follow up with relevant teams.
- Assist in preparing monthly dashboards and performance summaries.
- Identify discrepancies in reports and coordinate corrections.
- Ensure confidentiality and security of sensitive information.
- Maintain proper documentation during project handover and close-out stages.
Qualifications:
- Bachelor’s degree in Business Administration, Engineering, or a related field.
- Certification in Document Control or ISO standards is an advantage.
- Strong knowledge of facility management (FM) reporting systems and documentation standards.
- Advanced proficiency in Microsoft Excel, Word, and reporting tools.
- Familiarity with CAFM systems (e.g., IBM Maximo or similar software) is a plus.
- High attention to detail with strong data accuracy skills.
- Ability to work effectively under pressure in a 24/7 operational environment.
- Excellent coordination and communication skills.
- Good command of English; knowledge of Arabic is an advantage.
